Privacy Policy

RingTrade ("we", "us" or "our") provides an automated call-answering service for UK trades and property maintenance businesses (the "Service"). This policy explains how we collect, use, store and share personal data. It covers account holders (the businesses and individuals who sign up) and callers (people who phone an account holder's number and speak to the assistant).
1. Who we are

2. Information we collect
From account holders, when you sign up and use your account:
- Your name, email address, mobile number and the number we send call alerts to
- Your business name, company number (if given), role, team size and trading name
- Your trade, the services you offer, and your answers about how you take calls (emergency calls, gas work, what should happen after a call, the hours you need covered, missed calls per week, how you handle missed calls now, and the areas you cover)
- How you heard about us, and the version and date of the terms and privacy policy you accepted
- Your password, which our authentication provider stores in hashed form. We cannot see it.
- Account status, the RingTrade number and assistant we set up for you, and the call records shown in your dashboard
From callers, when the assistant answers a call:
- The caller's phone number and the date, time and length of the call
- What the caller tells the assistant, which is typically their name, postcode, address and a description of the problem
- An audio recording of the call and a transcript
From website visitors: technical data such as IP address and browser type, processed by the hosting and third-party services described in section 9.
3. The assistant, recordings and emergencies
- The assistant tells every caller that it is an automated assistant and that calls may be recorded.
- Calls are recorded, and the recording and details are made available to the account holder so they can follow up.
- RingTrade is not an emergency service. For a gas smell, fire or other emergency the assistant may give general safety information and tell the caller to contact the emergency services. It does not dispatch emergency services.
For information about callers, the account holder is normally the controller and RingTrade acts as their processor on their instructions.
4. How we use information
- To provide the Service: answering calls, texting the details and a recording link to the account holder, texting a confirmation to the caller, and showing calls in your dashboard
- To set up your assistant and RingTrade number, take payment for your subscription, and manage your account
- To contact you about your account and the Service, including by email and text message
- To keep the Service secure and prevent abuse, including bot protection on sign-up and log-in
- To improve the quality and reliability of the Service, and to meet our legal obligations
5. Who we share information with
We do not sell personal data. We use the following categories of service provider, who process data on our behalf:
- Telephony and phone-number providers, and text message (SMS) delivery providers
- A voice-AI platform that runs the assistant and stores call recordings
- Speech-to-text, text-to-speech and language-model providers that process what is said on a call
- Workflow-automation providers that move call details between our systems
- Database, authentication and hosting providers that store account and call data
- Email delivery providers
- Payment providers that take and manage your subscription payments. We do not see or store your full card details
- Website hosting, content-delivery and bot-protection providers
- Our professional advisers, and law enforcement or regulators where we are legally required to
6. Transfers outside the UK
Some of these providers process data outside the UK, including in the European Economic Area and the United States.
7. How long we keep information
- Sign-ups whose email address is not confirmed within 7 days are deleted.
8. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you
- Have inaccurate data corrected
- Have your data erased, in some circumstances
- Restrict or object to our use of your data, and ask for it in a portable format
- Withdraw consent where we rely on it
- Complain to the Information Commissioner's Office (ICO)
To exercise any of these rights, email hello@ringtrade.co.uk. If you are a caller and want to see or delete a recording, you may also contact the business you called.
9. Website, cookies and third-party requests
We do not use advertising or analytics cookies. When you are logged in, your browser stores a session token in local storage so you stay logged in. Our pages load resources from third parties (including Google Fonts, JavaScript libraries from content-delivery networks, and, where enabled, a bot-protection service). These requests reveal your IP address and browser details to those providers.
10. Security
We use appropriate technical and organisational measures, including encryption in transit and access controls, to protect personal data. No system is completely secure.
11. Changes to this policy
We may update this policy from time to time. We will post the updated version here with a new date.
